Booking Management Automation

The Pipeline Solutions Booking Management Automation was designed to give members an equal opportunity to train by preventing members from double booking and taking up spots on waitlists — critical in improving class utilization and maximizing class capacity.

The features of the Booking Management Automation include:

• Preventing advanced double bookings — if a member wants to train twice on the same day, the second booking can be a walk-in or same day booking
• Removing waitlist squatter — if a member is already booked into a class, they will be automatically removed from any waitlists
• Auto-add to class — if spots are available in a class, members will be automatically added in from the waitlist, even within a late cancel window

How the Booking Management Automation works:

• Each evening you (and any other recipients that you would like to include) will receive a report detailing all of your studio's member that have been removed from double bookings and waitlists for the next day's classes
• Here is an example of what the Booking Management Automation Report looks like:

• You can specify the time that you would like the Booking Management Automation to run when you complete the Pipeline Solutions onboarding form‍
• The Booking Management Automation only runs once per day, we recommend that the run late in the evening to allow for members to make any adjustments to next day bookings ahead of time, studios typically run the Booking Management Automation at 9pm or 10pm local time
• There is no action to take once the Booking Management report has been received
• If a member is signed into more than one class for the next day, they will be kept in the first scheduled class of the day and removed from all subsequent classes
• If a member is on multiple waitlists and they get into a class, they will be removed from any waitlists that they are still on for classes later in the day
• The Booking Management Automation runs for all scheduled classes, if you are running an event that you have scheduled as a class that is likely to have members appearing as a double booking, it is recommended that you turn off the Booking Management Automation the day before the event

To access your Booking Management Automation settings:

• Login to the Pipeline Solutions portal
• Click on Settings at the top of the menu on the left side of the screen
• You should now see this screen once you scroll down

• If you would like to turn the Booking Management Automation off, toggle the "Enable" switch to off, it will appear grey
• You can add studio team members as report recipients under Automation Report Recipients by entering an email address and clicking "+ Add" — only one email address can be added at a time
